Position Description Review
Overview
The Position Description Review (PDR) is the formalized process for reclassifying an existing position or creating a new position. Before a PDR can be considered for HR review, the Intake Form must be completed and signed by the requestor, the requestor’s supervisor(s) and the ELT member.
Timeline
When the PDR is submitted for HR’s review and has received all required approvals, the analysis, research and final recommendation can take between 6-8 weeks. This timeline can vary based on (1) the magnitude of the request, (2) the current PDR load and (3) the priority placement as determined by the division ELT member.
PDR Process
Step 1: Submission Of PDR Request
The PDR Intake Form is completed and signed by the requestor, the requestor’s supervisor(s) and the ELT member. This form initiates the review and helps frame the discussion.
Step 2: Acknowledgement and Scheduling
HR receives the PDR Intake Form and acknowledges receipt via email, as well as schedules an initial meeting to discuss the needs of the department and the specifics of the position request – these are usually held virtually.
Step 3: Intake Meeting
HR typically has this meeting with the supervisor(s) and/or ELT member to gather additional information. This would include HR asking clarifying questions and collecting examples to deepen the understanding of the position. Supplemental documentation may also be requested, such as organizational charts.
Step 4: Desk Audit
If deemed appropriate after the intake meeting, HR will conduct a desk audit to observe duties, gather contextual understanding and ensure role alignment.
Step 5: Classification Research
HR begins classification research to benchmark the position against established, external positions as well as against current, internal positions. This research is to ensure an appropriate classification that is aligned in both the internal and external market.
Step 6: Draft Job Description
An initial draft of the job description is shared with the department for review and feedback. Revisions are made collaboratively with the requestor, the supervisor(s) and/or ELT member until consensus is reached.
Step 7: Final Classification Analysis
Upon agreement of the job description, HR performs a final classification analysis to determine the appropriate position paygrade, title and salary.
Step 8: Classification Recommendation
HR delivers the formal classification recommendation along with the finalized job description built in step 6 to the supervisor(s) and/or ELT member. This step officially completes the PDR process.
