How to access voicemail

(Clicking on the links in these instructions will display a demonstration of that action)

  1. Press the Envelope button on the phone base.
  2. You will either see that you have new messages waiting, or you will see the standard Messaging screen.
  3. Select the button to the left of the "New voice message" or "Voice mail" (depending on what you see on the screen).
  4. At that point, the phone will dial into the voicemail server.
  5. You would then follow the instructions in the Voicemail Flowchart.

Note: You can also access voicemail on-campus by dialing   *##  (from the phone in question), or by dialing ext. 5550 or ext. 1004 (from any office phone).

How to check for missed/unanswered calls

  1. Press the Envelope button on the phone base.
  2. You will either see that you have new messages waiting, or you will see the standard Messaging screen.
  3. If you have an unanswered call waiting, select the button to the left of the unanswered call option on the LCD screen to go to the next screen.

    Note: Your phone distinguishes between internal and external calls when recording unanswered calls. You have to clear out all unanswered calls to get the message light to stop blinking.

  4. You will see a screen that displays the last caller and the unanswered calls. Select the button to the left of the unanswered call option you wish to view (internal calls or external calls).

    Caution: Selecting the button to the left of the last caller will callback that person instead of checking your unanswered calls.

  5. If you have more than one unanswered call, you will see a list of the names or phone numbers of the people who tried to contact you. You will need to select an entry from the list to view the details and to have the option to call them back or delete the message. If you only have one unanswered call, the Call Details screen for that call will be displayed automatically.
  6. You can then select the option to delete the unanswered call, or call the person back by pressing the appropriate button. If you have more than one unanswered call, you should see a Delete All option on this screen, which will allow you to discard all unanswered calls in the category you are checking (Internal or External).

How to check for callback requests

  1. Press the Envelope button on the phone base.
  2. You will either see that you have new messages waiting, or you will see the standard Messaging screen.
  3. If you have a callback request waiting, select the button to the left of the callback option on the LCD screen to see who left the callback request.
  4. If you have more than one callback request, you will see a list of the names of the people who want you to call them back. You will need to select an entry from the list to view the details, and to have the option to call them back or delete the message. If you only have one callback request, the Call Details screen for that call will be displayed automatically.
  5. You can then select the option to delete the callback request, or call the person back by pressing the appropriate button. If you have more than one callback request, you should see a Delete All option on this screen, which will allow you to discard all callback requests.

 

How to check for text messages

  1. Press the Envelope button on the phone base.
  2. You will either see that you have new messages waiting, or you will see the standard Messaging screen.
  3. If you have an unread text message waiting, select the button to the left of the text message option on the LCD screen to go to the next screen.
  4. On the Text Mail screen, you will see the number of new messages (unread) and old messages (already viewed) on your phone. To view your messages, press the button to the right of the "Read message" option on the screen.
  5. On the Text Mail Details screen, you can then delete the text message, send a text message to them in response ("Text answer"), call the person back ("Recall"), or view the next text message on your phone by pressing the appropriate button next to the option on the screen.

    Note: Once you delete a text message, the message itself will remain on the screen, but the Delete option for that message will disappear. Likewise, when there is only one text message on the phone, the Next Message option on the Message Details screen will not be displayed.

How to transfer calls

  1. While talking to a caller, press the Transfer button
  2. Dial the number
  3. Press the End Call button or hang-up the phone handset

Tips

  • The message light on your phone may blink for one or more of the following reasons:
    • You have one or more new messages waiting in voicemail
    • You have a Callback Request
    • You have an unread text message
    • You have a missed call
  • Using the directional pad on your phone will allow you to scroll through the menu options.
  • You can access your voicemail from off-campus by dialing 352-395-5550 and following the prompts
