Transcript Requirement
Students transferring to Santa Fe College must request official transcripts from every school they have attended (including foreign colleges or universities), per college rule.
Transcripts can be mailed, electronically sent or turned in at the Office of the Registrar on the Northwest Campus (Building R, room 112). The mailing address for official transcripts is:
Santa Fe College
3000 NW 83rd Street
Building R, Room 112
Gainesville, FL 32606
Electronic transcripts will be accepted by Santa Fe College if they are sent through a secure PDF Transcript Delivery Option. Florida public college transcripts are usually sent/requested automatically through the FASTER system, but private and out-of-state colleges can also send transcripts electronically if they have that capability.
If your college or university can send secure PDF transcripts, please provide this email address to your sending school when requesting official college transcripts: TE@sfcollege.edu.
If you are not sure if your college or university can send secure PDF transcripts or would like to initiate your own request to send transcripts electronically, please visit Parchment Exchange.
Coursework must come directly from the granting institution. Coursework from third parties will not be accepted.
All official transcripts must be:
- Sealed / unopened
- Issued within the last 6 months
Transcripts with a print date older than 6 months will not be accepted.
Transcripts with "in progress" coursework will NOT be evaluated, as they are incomplete. Make sure to request your transcripts only after final grades have been posted. Official transcripts must be received prior to the second term of registration.
Transfer Courses
Santa Fe College accepts transfer coursework from regionally accredited institutions. Santa Fe College may also accept credits from institutions that are not regionally accredited in accordance with the State of Florida K-16 Articulation Agreement, which recognizes courses approved in connection with the Florida Department of Education Statewide Course Numbering System.
You may view the status of your transcript evaluation on the My Status page, under the Advisement menu option in your eSantaFe portal. Your coursework will be posted once all your transcripts have been received and evaluated.
Financial Aid
All final transcripts must be received and evaluated before your financial aid can be processed. Check with the Financial Aid Office in regard to your eligibility status.
Closed Schools
If you previously attended a school that you think has closed, you may use the search page to verify. You will then need to contact the appropriate Closed School Contact for the state the school was located in and request that a letter be sent to Santa Fe College on your behalf. The contact person can tell you if your records are being held somewhere and how to obtain them. If not, they will need to send a letter to the Office of the Registrar in R-112 stating that the school was closed and no records are available for you. They will need to include your name and social security number. The contacts can be found here.
Credit By Exam (AP/IB/CLEP/AICE/DANTES)
Students may receive credit for accelerated credit-by-exam mechanisms by providing the exam score(s) to the Office of the Registrar.
Exam | How to Provide Scores |
AP | Scores can be downloaded free of charge from College Board. The downloaded scores can be turned-in at the Office of the Registrar, mailed or e-mailed as an attachment from the student’s SF email address. |
Cambridge AICE | Use the link: https://gradetranscripts.cambridgeinternational.org/ to have your scores sent to SF College. Once we receive the scores, the appropriate credits should appear on your record within 7 business days. |
IB | Request scores/certificate to be emailed to Santa Fe College from www.ibo.org. |
CLEP | Scores can be downloaded from College Board. Students can also obtain a copy of their scores when they complete the exam at a testing location. The scores can be turned-in at the Office of the Registrar, mailed or e-mailed as an attachment from the student’s SF email address. |
Pictures or copy and paste produced documents with the scores will not be accepted.
College credit will be awarded according to the equivalency table for each credit-by-exam mechanism.
AP/IB/Cambridge AICE Policy (Credit-by-Exam)
Some academic programs may require/recommend students to actually take a course for which they already have earned AP/IB/Cambridge AICE credit, for reasons like:
- The AP score(s) not accepted for transfer
- Need to take the course for a grade
In these cases, students have the option to either still earn the credit by transferring in their credit-by-exam credit(s) or not transfer the credit(s) and taking the class at Santa Fe.
Students are encouraged to carefully review the following considerations before making their decision:
Transferring in your credits(s) | Not transferring in your credit(s) |
AP/IB/Cambridge AICE credit(s) will be included on transcript. | AP/IB/ Cambridge AICE credit(s) will not be included on transcript. |
C or Better appeal is required for permission to take the course. | C or Better appeal is not required. Students can register on their own to take the course. |
AP/IB/ Cambridge AICE credits will always be considered the attempt of record, which earns the credit. Taking the course at Santa Fe will be considered a second attempt (repeat). It will not earn credit and the grade will not be included in the GPA calculation. | The course will earn credit and the grade will be included in the GPA calculation. |
Taking the course may impact financial aid, including Bright Futures, because the course will not count as earned credit towards degree. | The course will count as earned credit for financial aid purposes. |
Students who want to earn credit by taking the course and do not want to bring in their AP/IB/Cambridge credits(s) must submit the Request to Not Transfer Credit-by-Exam Credits form, available under the Documents menu tab on eSantaFe. The form must be submitted by the last day of classes of the student’s first semester. This is a one-time election and will not be changed.
Credits will be transferred in for students who do not submit the form by the last day of classes of their first semester.
Military Credit
Active duty service members and retired military personnel may request a review of military experience for possible credit by submitting a copy of their DD-214 to the Office for Veteran and Military Success Services and Joint Services Transcript (JST) transcript to the Office of the Registrar. Please review our policy for awarding credit for military service for further information.
Transient Status
Santa Fe students wishing to attend another post secondary institution and transfer credits back to Santa Fe College must obtain permission from SF before enrolling at the other institution. Students should fill out a transient form, seek advisement about the courses they wish to take, and have their status at SF certified by the Office of the Registrar before enrollment at another institution. For further information about being a transient student visit the Academic Advisement Center.
International Transcripts
Students with coursework from foreign colleges or universities must have their transcripts evaluated by an organization that is an endorsed member of NACES or AICE. Josef Silny & Associates and World Education Services are examples of agencies commonly used by students but any NACES or AICE approved member may be used.
Students should request a course-by course evaluation. Official transcripts from the international institutional must be sent directly to the evaluating organization.
Students are responsible for the cost of the transcript evaluation.
The completed course-by-course evaluation must be mailed or electronically sent from the evaluating agency to Santa Fe College.
